Privacy Policy

The Place for Life OS (the "Platform") is operated by The Place for Life LLC ("Company," "we," "us," "our"). This Privacy Policy explains how we collect, use, disclose, and safeguard information in connection with the Platform, our websites, and related services.
The Platform is a business-to-business service for licensed insurance producers and their authorized personnel ("Agents"). It is not directed at consumers. Consumers who interact with an Agent's landing page, booking page, or advertising should read the Consumer Privacy Notice published on those pages; for the personal information a consumer shares with an Agent, that Agent is the business responsible for it and we process it on the Agent's behalf (see Section 2).
1. Information We Collect
Account and Platform Data — information about you as an Agent, provided by you or collected automatically:
- Identity and licensing: full name, business/agency name, National Producer Number (NPN), resident state, states of licensure, and the results of license verification checks
- Contact: email address, phone numbers (including the mobile number used for sign-in codes), business mailing address
- Business profile: headshot, page copy, website addresses, domains provisioned for you, booking availability
- Billing: subscription status, invoices, wallet balances and ledgers. Payment credentials (card and bank account numbers) are collected and stored by Stripe, our payment processor; we never store full card or bank numbers
- Messaging registration: business entity type, legal business name, EIN (stored encrypted), and business address, used to register your messaging with carriers
- Usage and technical data: log data, IP addresses, device/browser information, and actions taken in the Platform
- Communications with us: support messages, applications for access, and the consent records associated with them
Client Data — information about your leads, prospects, and clients that you or your automation put into the Platform: names, contact details, dates of birth, state, coverage interests, appointment records, call recordings and transcripts, message history, consent records, and any notes or custom fields you add. Client Data may include nonpublic personal information subject to insurance privacy laws. You are the owner of Client Data; we process it to operate the Platform for you, as described in the Data Processing Agreement.
2. Our Roles
For Account and Platform Data, we decide how and why it is processed (we act as the "business" or "controller").
For Client Data, YOU decide how and why it is processed and we act on your instructions (we act as your "service provider" or "processor"). Consumers exercising privacy rights over Client Data should contact the Agent they did business with; we support Agents in honoring those requests.
3. How We Use Information
- To provide, secure, and improve the Platform: accounts, sign-in codes, pages, booking, scheduling, messaging, dialing, billing, and support
- To verify licensure and eligibility before and during your use of the Platform
- To register your business for compliant messaging with telecom carriers
- To bill you: subscriptions, usage wallets, and automatic reloads you enable
- To send you operational messages about your account (these are not marketing)
- To comply with law, enforce our agreements, and protect the Platform, our users, and consumers from fraud and abuse
We do not sell your personal information, and we do not share it with third parties for their own marketing. Mobile phone numbers collected for text messaging, and text-messaging opt-in data and consent, are never shared with or sold to third parties or affiliates for marketing or promotional purposes.
4. How Information Is Shared
We share information only with:
- Service providers (subprocessors) that host and operate parts of the Platform under contractual limits: Supabase (database and storage), Vercel (application hosting), Stripe (payments), Twilio (telephony and SMS), Retell AI (voice assistant), Anthropic (AI text generation), Amazon Web Services and Resend (email delivery), our SMTP email relay provider, ZeroBounce (email address verification), ActiveProspect/TrustedForm (lead consent verification), Google (sign-in, when you use it), and Meta Platforms (ad lead delivery, when you connect it)
- Telecom carriers and registries, to the extent required to register and deliver your calls and texts
- Professional advisers, and authorities when required by law, subpoena, or to protect rights and safety
- A successor entity in a merger, acquisition, or sale of assets, under this Policy's protections
5. Retention
- Account and Platform Data: for the life of your account and up to 90 days after termination, except as below
- Billing and financial ledgers: at least 7 years (tax and accounting law)
- Consent records, message logs, and call recordings/transcripts: at least 4 years, because that is the limitations period within which they may be needed as evidence of lawful contact (they protect you and us)
- Sign-in and verification codes, and rate-limiting records: short-lived and purged routinely
- After account termination: a 90-day window applies during which your data export remains available, after which data is deleted or de-identified except for the categories above and what law requires us to keep
6. Security
We use security measures appropriate to the sensitivity of the data: encryption in transit (TLS) and at rest (disk-level), plus field-level application encryption for especially sensitive fields (such as beneficiary details and EIN); row-level access controls; two-factor authentication; role-based access; audit trails on money movement; and signature verification on all third-party webhooks. No system is perfectly secure, and we cannot guarantee absolute security.
7. Your Sign-In Texts
When you provide your mobile number for account security, we use it to send sign-in verification codes and critical account alerts. Message frequency varies with your sign-in activity. Message and data rates may apply. Reply STOP to opt out (you will need another verification method to sign in) or HELP for help. As stated above: mobile numbers and opt-in data are never shared with third parties for marketing.
8. Breach Notification
If a breach of security compromises personal information, we will notify affected Agents without unreasonable delay consistent with applicable law (including the Illinois Personal Information Protection Act, 815 ILCS 530, and, where applicable, the Illinois Insurance Data Security Law, 215 ILCS 215), and will provide the information reasonably needed for you to meet your own notification duties for Client Data.
9. Your United States Privacy Rights
State privacy laws (such as the California Consumer Privacy Act and similar laws in other states) give residents rights over personal information. As a matter of policy we extend these rights to ALL United States residents for the Account and Platform Data we control:
- Right to know/access the personal information we hold about you
- Right to correct inaccurate personal information
- Right to delete, subject to the retention obligations in Section 5
- Right to portability (your data export is self-serve in the Platform)
- Right to appeal a refusal, by replying to our decision
Exercise these rights at theplaceforlifeos@gmail.com. We will verify your identity and respond within 45 days. We do not sell or share personal information as those terms are defined in state privacy laws, and we do not use it for cross-context behavioral advertising. For Client Data, direct requests to the Agent concerned; we will assist them.
10. Insurance Privacy Laws
Agents are the regulated parties under the Gramm-Leach-Bliley Act and state insurance privacy regulations for their clients' nonpublic personal information. We act as a third-party service provider to Agents under those laws and use Client Data only to perform services for the Agent.
11. Children
The Platform and our websites are not directed at children under 18, and we do not knowingly collect information from them. If you believe a child's information has been provided to us, contact us and we will delete it.
12. Changes
We will post changes to this Policy with a new version number and effective date, and material changes will be presented to you in the Platform for review before continued use. Continued use after the effective date is acceptance.
